For operators with a team of guides

Put the right guide on every departure.

You decide who leads every departure. Wayward gives each guide a login that shows only their trips, hands them the guest list and the trip details, and keeps a record of what happened afterwards.

What one guide signs in to see.

Staffing the season lands on you.

A shared login is how most operators start. It also hands a guide your guest list, your payments and your settings, and you find out later.

Once there are thirty departures on the calendar, who is leading Saturday stops being something you can answer from memory.

What a guide learns about a guest, a route or a vehicle stays with that guide. When they move on, the season starts again without it.

    How it works

Four steps from roster to trip day.

    Step 1

Assign guides where the trip lives.

Choose the guides on the experience itself. Every date you publish inherits them, so a new departure is staffed before anyone has to ask.

    Step 2

Swap a guide for one date.

Someone calls out, a contract guide takes the week. Change the guides on a single departure without touching the rest of the season.

    Step 3

Each guide sees their own trips.

A guide signs in to the departures they are assigned to, with the guest list, trip details and the guest-facing trip page. No contact list, no payments, no settings.

    Step 4

    Every departure leaves a record.

Who checked in, a note on each guest, and an end-of-trip form filled in by whoever ran it. The answers come back to you instead of a group chat.

    Consistency

The same trip, whoever leads it.

Trip day runs the same every time.

Check-in opens two days before departure. Every guide works the same list, with each guest's medical and dietary flag beside their name.

    One packet for the trail.

A PDF for offline use with the roster, emergency contacts, dietary and medical notes, the itinerary and your internal notes. Hand it to a guide you have never worked with and the trip still runs to your standard.

One form when the trip is over.

Pick an end-of-trip form per experience from your Forms library. Whoever ran the trip fills it in once, and the answers arrive with that form's other responses.

    Accountability

    Know what happened without asking.

    • Arrivals stay on the guest list as the record of who showed up.
    • Guide notes carry to each guest's profile, so whoever leads them next starts informed.
    • Guides see the medical and dietary details they need on the trail, and every view is logged.
    • Guests see their guides' first names on their trip page.

    Room for your whole roster.

The Guide role is part of your team in Wayward. Enterprise includes unlimited team members, so every staff and contract guide gets their own login and their own view of the season.
